Reputation management

More reviews from real patients. Replies that never put you at risk.

Happy patients rarely think to leave a review; unhappy ones usually do. We fix that imbalance the right way: by asking every patient, monitoring every platform, and helping you reply in a way that's professional and HIPAA-safe. No fake reviews, no filtering, no shortcuts that get a practice fined or delisted.

Why a great practice can have a poor rating

Patients read reviews before they choose a doctor, and they read them on more sites than most practices check.

  • Satisfied patients stay quiet

Healthcare is private. A good visit rarely ends with someone posting about it, so a handful of frustrated reviews can define you.

  • Reviews are scattered

Google, Healthgrades, Vitals, WebMD, Zocdoc, Yelp, Facebook. Most practices only watch one or two, and find the rest by accident.

  • Replies are risky

A defensive reply looks bad. A reply that confirms someone was your patient, or mentions their care, is a HIPAA violation. HHS has fined practices for it.

  • Old reviews linger

A low rating from years ago, under a provider who has since left, still shapes what new patients think today.

What's included

A steady flow of genuine reviews

Review requests after every visit

A short text or email invites each patient to share their experience, every patient and not just the ones you expect to be happy. We connect it to your practice management system so it runs on its own, and only text patients who've agreed to receive texts from your practice.

The right platforms

We point patients to Google and the healthcare sites that welcome review invitations, like Healthgrades. Some platforms, Yelp included, ask businesses not to solicit reviews, so we monitor those but don't send patients there.

Monitoring in one place

Every new review across Google, Healthgrades, Vitals, WebMD, Zocdoc, Yelp and Facebook, collected in one feed, with an alert when something needs a reply.

HIPAA-safe replies

We draft replies for you to approve, or post them for you. They're warm and professional, and never confirm that the reviewer is a patient or refer to anything about their care. Clinical complaints get moved offline, where they belong.

Flagging reviews that break the rules

Spam, reviews meant for a different business, conflicts of interest and abusive content can be reported to the platform for removal. We handle the reports and the follow-up. Honest negative reviews stay up; the answer to those is a good reply and more reviews.

Showing reviews on your site

Your strongest reviews displayed on your website, pulled from the platforms they were posted on and attributed as written. Testimonials only appear with the patient's written permission.

What we won't do

Some shortcuts cost more than a bad review

The FTC's rule on consumer reviews, in force since October 2024, allows civil penalties for fake and manipulated reviews, and Google removes reviews and restricts profiles that break its policies. So there are things we'll never do for a client, whatever a competitor promises:

  • Write, buy or post reviews, or publish "testimonials" under accounts that aren't the patient's own.
  • Gate reviews: screen patients first and only send the happy ones to Google.
  • Offer incentives such as discounts or gift cards in exchange for reviews.
  • Pressure platforms to take down honest reviews, or threaten the patients who wrote them.
  • Reveal anything about a patient in a reply, even to correct the record.

How it works

Up and running in a few weeks

  1. Reputation audit

Where you're listed, your rating on each platform, what patients are saying, and which reviews may qualify for removal.

  2. Claim and clean up

We claim and correct your profiles so the right providers, locations and contact details appear everywhere.

  3. Switch on requests

Review invitations connected to your practice management system under a Business Associate Agreement, using only the minimum patient details needed to send them.

  4. Reply and report

Ongoing monitoring and replies, plus a monthly summary of new reviews, rating trends and what patients mention most.

Questions

Reputation management, plainly answered

Can you remove negative reviews?

Only reviews that break a platform's own rules, such as spam, fake accounts, reviews of a different business, conflicts of interest and abusive language. We'll identify those and handle the removal requests. Genuine negative reviews can't be removed and shouldn't be; a calm, HIPAA-safe reply and a steady stream of new reviews does far more to protect your rating.

Is it allowed to ask patients for reviews?

Yes. Google and most healthcare review sites allow it, as long as you ask everyone rather than only the patients you expect to be happy, and don't offer anything in return. Yelp asks businesses not to solicit reviews, so we don't direct patients there.

Is sending review requests HIPAA compliant?

It can be, when it's done properly. We work under a Business Associate Agreement, use only a patient's name and contact details, never include anything about their visit in the message, and only send texts to patients who have agreed to receive them.

How should we reply to a review?

Thank positive reviewers without confirming they're patients ("Thank you for the kind words about our team"). For negative reviews, acknowledge the concern in general terms and invite the person to call the office. Never mention dates, treatments or any detail of their care. We draft replies in this style for you to approve.

Does this work with our EHR or practice management system?

In most cases, yes. We connect review requests to the system you already use so they go out automatically after each visit. If a direct connection isn't possible, a simple daily export works too.

Find out what patients see when they look you up

We'll pull together your ratings and reviews from every major platform, flag anything that may qualify for removal, and show you what a steady review program would change.
